Introducing Timezone-Based Email Sending
Reach journalists at the perfect time, in their timezone
Timing is everything in PR. Send your press release too early, and it gets buried. Send it too late, and you've missed the news cycle. But what if your media list spans multiple timezones? That's where our new Timezone-Based Email Sending feature comes in.
Now you can send emails at the same local time for every journalist on your list—whether they're in New York, London, Sydney, or anywhere else in the world.
✨ The Problem We're Solving
If you send a campaign at 9 AM your time to a global media list, journalists in other timezones might receive it at midnight, during lunch, or after they've finished work for the day. With timezone-based sending, everyone receives your email at 9 AM their time.
How It Works
Create Your Campaign as Usual
Write your email, select your collection, and customize your content just like you normally would through steps 1-5 of the campaign builder.
Choose "Send at Local Time"
On the final step, you'll see a new option: "Send at Local Time". Click this to open the timezone scheduling modal.
Select Your Date and Time
Pick the date you want to send, and choose what time recipients should receive your email in their local timezone (e.g., 9:00 AM).
Review Timezone Groups
See exactly how your journalists are grouped by timezone. You can even customize the send time for individual timezones if needed.
Confirm and Let It Run
Your campaign will automatically send emails as each timezone reaches the scheduled time. The campaign stays in "sending" mode until all timezones have been reached.
Real-World Example
📧 Scenario: You're announcing a product launch to journalists in the US, UK, and Australia
You want everyone to receive your email at 9:00 AM their local time. Here's how it works:
- 🇦🇺 Australian journalists receive the email at 9:00 AM AEDT (first to receive)
- 🇬🇧 UK journalists receive the email at 9:00 AM GMT (several hours later)
- 🇺🇸 US journalists receive the email at 9:00 AM EST (last to receive)
Your campaign will be in "sending" mode for approximately 16 hours as it gradually sends to each timezone. This ensures maximum visibility and engagement across all regions.
Key Benefits
Perfect Timing
Hit journalists' inboxes when they're most likely to be checking email and planning their coverage.
Global Reach
Manage international press campaigns with ease. No more manual timezone calculations or separate campaigns.
Higher Open Rates
Emails sent at the right local time see significantly better engagement and response rates.
Customizable
Fine-tune send times for specific timezones. Want to send later to West Coast journalists? No problem.
Best Practices for Timezone-Based Sending
💡 Pro Tips
- Send between 8-10 AM local time – This is when most journalists check email and plan their day
- Avoid Mondays and Fridays – Tuesday-Thursday typically see better engagement
- Check your timezone groupings – Make sure journalists are in the right timezone before sending
- Plan for the duration – Your campaign may take 12-24 hours to complete if you have worldwide coverage
- Test with a small group first – Try the feature with a smaller, regional list before rolling out globally
