Introducing the PR Calendar: Schedule, Notes and Tasks Built Into PressReacher

PR is a discipline built on timing. The right story at the right moment to the right journalist is what separates a placement from a no-reply. Until now, managing that timing meant living across multiple tools. Today, we're changing that.

We've shipped a built-in PR Calendar inside PressReacher. Schedule your campaign sends, set follow-up reminders, write notes against journalist contacts, and track tasks from a single view alongside your journalist database and outreach campaigns.

Why we built it

We kept hearing the same thing from users: finding the journalist is the easy part now. The hard part is staying organised once you have a list of people to contact, a launch date coming up, and a handful of follow-ups you promised yourself you'd send.

Most teams solve this with a mix of Google Calendar, sticky notes, a shared spreadsheet and a lot of hoping nobody forgets anything. It works, but it adds friction at exactly the moment you need to be moving fast.

Having the calendar live inside PressReacher means your scheduling sits next to the very journalist records and campaigns it relates to. No switching tabs. No copying names and dates between systems.

What's included

Calendar view

A full month and week view of everything you have scheduled. Campaign sends, follow-up reminders, editorial deadlines, embargo dates, press trip dates, anything you want to track. All in one place, no setup required.

Tasks with due dates

Create tasks directly from the calendar. Assign a due date and time, set a reminder, and mark them complete when done. If you're working as part of a team, you can assign tasks to other members and get notified when they're completed.

Notes

Attach notes to calendar items, journalist contacts, or campaigns. Keep track of conversations, flag preferences, record what a journalist told you off the record, or just leave yourself a reminder about context that doesn't fit anywhere else.

Email reminders

Set a reminder on any task or calendar event and we'll send you an email notification at the right time. No need to keep PressReacher open or remember to check back.

How PR teams are using it

A few patterns that have already emerged from early users:

  • Embargo management -- add the embargo lift date as a calendar event with a reminder the day before, so you're never caught out
  • Follow-up scheduling -- after sending a campaign, add a task for a week later to follow up with anyone who opened but didn't reply
  • Launch coordination -- map out the full launch week, from first outreach to follow-up wave to coverage round-up, all in one view
  • Journalist notes -- log what a journalist told you at an event or on a call, so you have context next time you pitch them
  • Team task delegation -- assign specific outreach tasks to team members and track completion without a separate project management tool

Available now: The PR Calendar is live in your dashboard. Head to Dashboard and then Calendar to get started. Everything syncs in real time across your team.

What's coming next

This is the first version. We're already working on:

  • Linking calendar items directly to journalist profiles and campaigns
  • Recurring reminders for regular editorial contacts
  • A weekly digest email summarising what's on your plate
  • Calendar exports so you can sync with Google Calendar or Outlook

If there's something specific you'd like to see, reply to any email from us or use the feedback button in the dashboard. We read everything.
